HOA Capital Improvement Project Services

The first step in any successful capital improvement project is to understand the goals of the HOA and clearly define the scope of work. Problems in construction projects often arise when the project objectives and scope of work is not clearly conveyed to the bidders. The result of this can be expensive rework, cost overruns and schedule delays.

  1. Prepare and review requests for proposals for Design Services

    Once the project scope is defined the HOA will need to issue an RFP hire an architect and/or engineering firm to bring their project to life. It is extremely important the RFP is written so that the HOA hires the proper firm for their particular project and that they get the exact services that they need. DAE has created a template for RFP’s for Design Service firms that has proven to be very effective in helping the client hire the best fit for their project.

  2. Assist the HOA in interviewing the Design Services firm

    The objective of the interview is to define the design team and to provide the HOA with a feel for the level of service that they should expect. DAE has interviewed countless design firms and will make sure the HOA asks the right questions in the interview and make the best possible choice for their project.

  3. Review project drawings and specifications

    The largest contributor to cost overruns and change orders is incomplete or unclear design documents. DAE will review the design documents prior to issuance to bidders to assure that the documents are properly coordinated and corrected if necessary. This results in lower the bids and minimizes change orders after work has begun.

  4. Review contractor quote and proposals

    The lowest bid is not always as it appears so it is important that the HOA understand exactly what the contractor is including in their price before they make their selection. DAE will review the contractor’s bids and follow up with questions to make sure that they have not missed anything in their bid, misunderstood the design documents or have included variances to the project documents.

  5. Write and review construction contracts

    The construction contract is crucial in assuring that the HOA is protected and does not subject itself to undue risk and misunderstandings. DAE will review or write the construction contract to assure that the important issues such as payment terms, retention, conflict resolution, insurance requirements, lien releases and schedule requirements are in the HOA’s favor.

  6. Manage construction

    Depending upon the size of the project the HOA may not have adequate experience to properly manage the project. DAE has the resources to successfully and cost effectively manage projects of all scopes and sizes.
